System Setup Steps – Initial Programming

Navigation Keys Used During Programming:

  • Program Button: Located below the display on each digital telephone.

  • Enter Button: The round key in the middle of the navigation keys to the right of the display.

  • Navigation Keys: Used to scroll up, down, right or left. When in programming, values are selected by pressing the Up and Down navigation keys.

  • Key Pad or Dial Pad: Sometimes used to dial values such as year, month, extension numbers or phone numbers.

Note: Initial programming is done through any phone by pressing the program button.

Incoming Ringing Programming:

Here are the steps to program the X16 system to set all incoming call rings at all stations:

  1. At any digital phone, press the Program Button

  2. Scroll to select System Setup and Enter

  3. Put in the password and press Enter (#### is the default password)

  4. Scroll up to go to the Mail System and press Enter

  5. Scroll down to go to AutoAttend Ring and press Enter

  6. Scroll to select All Ext On and press Enter

All phones will now ring on incoming calls until the AA answer delay timer expires

  1. To set how long phones ring, scroll down to AA answer delay and press Enter

  2. Use the navigation keys to scroll up or down to set the desired time, then press Enter

  3. Press the left navigation key to exit programming

Ringing On / Off – Telephone Extension Ringer Adjustment:

Here are the steps to turn incoming call ringing on or off at each X16 digital telephone:

  1. Go to the digital phone that you want to adjust

  2. Press the Program Button and scroll to select Phone Setup, and then press Enter

  3. Scroll up to Ringer On/Off and press Enter

  4. Select the line you want to adjust and press Enter

  5. Select On or Off and press Enter

Repeat steps 4 and 5 for all the lines you want to adjust.

Automated Attendant Setup

Here are the steps to set the automated attendant times and record the announcements:

  1. At any digital phone, press the Program Button
  2. Scroll to select System Setup and Enter
  3. Put in the password and press Enter (#### is the default password)
  4. Scroll up to go to the Mail System and press Enter
  5. Scroll down to Day Time and press Enter
  6. Enter the time of day that your office opens for business and then press Enter
  7. Scroll up or down to select AM or PM and then press Enter
  8. Scroll down to Night Time and press Enter, then repeat steps 6 and 7

The next steps are used to record the day, night and auxiliary out going messages (OGM)

  1. Scroll down to Day Time OGM and press Enter
  2. Scroll to select Play or Re-Record and then press Enter
  3. Continue to use Scroll and Enter to control the recorder

For best audio quality, use the handset when recording your announcement.

Night Out Going Message: To record this announcement, scroll down to Night Time OGM and repeat steps 2 and 3 from the second set of instructions above.

Auxiliary Out Going Message: To record this announcement, scroll down to AUX OGM and repeat steps 2 and 3 from the second set of instructions above.

System Default Settings

System Setup Password: The code is ####

If your password has been changed or you forgot your password, contact Product Support at 866-925-8312

Voice Mail Remote Code: The code is 123

This code is set at each telephone by going into Voice Mail Setup

System Operator Extension: Extension Number is 301

The Operator Extension is programmable at one of the system phones in System Setup > Mail System > Attendant EXT#

Incoming Ringing Assignment (Auto Attendant Ring Setting): AA Only

Incoming calls ring at the operator extension only, and other extensions cannot pick up or answer incoming calls

Auto Attendant Answer Timer (AA Answer Delay): 10 Seconds

With this setting, incoming calls are picked up by the automated attendant after two or three rings

Extension Call Forwarding: Calls go to Voice Mail

Change this setting is each phones Call Forwarding settings
